  1. Background

Speediful Solutions Inc. (“Speediful”, or “we”, “us”, or “our”) is committed to protecting the privacy and security of the information we receive, collect, and process from you (“you” or “your”). This Privacy Policy (the “Privacy Policy”) applies to you when you access our website at www.speediful.com (“Website”), whether on behalf of yourself or your customers (“End Customer”) or when you access or use Speediful’s software (the “Software”), including pursuant to a license agreement with Speediful.  

This Privacy Policy describes the types of information Speediful receives, collects, and processes, how we use and disclose such information, as well as your rights in relation to such information.

If you have entered into a license agreement with Speediful, whether on the terms found at speediful.com/terms or on separately negotiated terms, this Privacy Policy must be read together with that license agreement. For the purposes of this Privacy Policy, a “Customer” is a party who has entered into a license agreement for the Software.

This Privacy Policy does not apply to the privacy practices that govern your relationship with your End Customers when you use the Software to collect or process their data. Such activities are governed solely by your own privacy policies and notices, which Speediful does not control and for which Speediful is not responsible.

  1. Changes

We may change or update this Privacy Policy from time to time by posting the revised version on the Website, such updates to be effective as of the “Last Updated” date shown above.

For Website visitors and users of the Software, continued use of the Website and the Software after any update constitutes acceptance of the revised Policy. For Customers, Speediful may also provide notice of material changes affecting the handling of Personal Data or non-Personal Data through the Customer’s administrative contact on file or in accordance with the notice provisions of the applicable license agreement.

  1. Consent to Collection and Use

By accessing or using the Website, you acknowledge and agree that we may collect, use, and disclose limited Personal Data and Non-personal Data, such as Anonymized Data, Aggregate Data and Cookies, as described and only for the purposes set out herein.

The Software is designed for installation and operation entirely within each Customer’s or End Customer’s own systems and infrastructure, as the case may be. All data processed through the Software remains within that respective Customer’s or End Customer’s environment, as the case may be, and under their exclusive control. Speediful does not host, store, or process any such data.

However, Speediful does collect limited Personal Data and non-Personal Data necessary to administer our Customer relationships and to provide and support the Software, including account management, billing, license verification, and technical support.

If you do not agree with any aspect of this Privacy Policy, you should immediately discontinue access or use of the Website and Software. If you use the Software, certain collection and use of data covered by this Policy is required in order for Speediful to provide the Software and fulfill its contractual obligations.

  1. Categories of Information We May Collect

Speediful may collect two main categories of information:

  1. Personal Data

Personal Data is any information directly or indirectly relating to an identified or identifiable individual, such as a name, contact information (including email addresses), an identification number, location data, an online identifier or one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that individual (“Personal Data”).

  1. Non-Personal Data

Non-Personal Data means information that does not identify, and cannot reasonably be used to identify, an individual. Non-Personal Information includes Anonymized Data, Aggregate Data, de-identified data, and information collected through Cookies or similar technologies that record technical details about Website usage, device characteristics, or browsing patterns.

  1. Anonymized Data

We may collect and use data without any identifiers (“Anonymized Data) for limited operational and analytical purposes, further detailed at Section 6 below. We do not use Anonymized Data in any way that re-identifies any individual or associates such information with a specific user account. 

  1.  Aggregate Data

Aggregate Data is information about your activities on or in connection with the Website or use of the Software that typically cannot be used to identify, locate, or contact you (“Aggregate Data”). For example, Aggregate Data includes information regarding the frequency of use of the Website and browser types used to access the Website, and usage of the Software. Aggregate Data is Non-Personal Data.

  1. Cookies, etc.

Cookies, beacons, device identifiers, or similar technologies (together, “Cookies”) are small pieces of data placed on your device that your web browser or device uses to access the Website and that permit Speediful to track your activity on the Website. We obtain information from Cookies when you visit the Website. You may turn off Cookies in your browser or device settings, but this may limit functionality of the Website. Cookies help analyze usage and provide certain functionality. Cookies are Non-Personal Data.

  1. Collecting, Using, and Sharing Personal Data

Speediful collects and uses Personal Data to:

  1. operate Website features that require Personal Data in order to function;
  2. communicate with you, including when you voluntarily submit information, request a quote, or contact us through the Website or by other means (such as e-mail or telephone);
  3. provide marketing or other information that may be of interest to you, but only where you have provided your consent or otherwise permitted by applicable law. You may opt out of such communications at any time by using the unsubscribe link or option included in our messages;
  4. for Customers, provide technical support for the Software and perform related administrative functions, including processing payments, managing billing information, verifying account activity, and administering the business relationship.
  1. Collecting, Using, and Sharing Non-Personal Data

Speediful collects Non-Personal Data, including Anonymized Data, Aggregate Data and Cookies when you visit the Website or engage with its content or use or access the Software.

  1. Anonymized Data

Speediful uses Anonymized Data for the following purposes:

  • Product Insights and Analytics: We collect Anonymized Data about the types of searches, questions, and interactions users make within the Website or Software. This information is used for internal analytics, improving our product, content, and enhancing the performance and relevance of our search and AI features.
  • AI-Powered Responses: Anonymous queries from Website visitors may be processed by our AI large language model subprocessors together with Speediful business and product information to provide AI-generated responses to that Website visitor.
  1. Aggregate Data

Speediful uses Aggregate Data for the following purposes:

  • to deliver Website functionality, such as downloading information or registration for various events;
  • to improve the features and functionality of the Website;
  • to monitor and analyze usage of the Website to enhance the user experience;
  • to research, compile, and report on usage trends, user demographics, and user behaviors to enhance the user experience with respect to the Website and Software; and
  • to monitor, analyze and improve the Software.

Speediful may share Aggregate Data with its affiliates and certain third parties, such as investors, potential investors, and third party service providers we use to provide and facilitate the Website.

Aggregate Data is anonymized and does not have the capacity to be used to identify an individual. In other words, Speediful may share this information but no Personal Data will be disclosed to third parties.

  1.  Cookies

Speediful collects two categories of Cookies when you visit the Website: i) necessary cookies; and ii) non-essential, or analytics and performance Cookies

You may opt-out of non-essential cookies by managing your Cookie preferences on the Website.

Cookie data may include location information such as the geographic region of the user.

Speediful uses Cookies:

  • to deliver essential Website functions, such as security and browser redirects;
  • to improve the features and functionality of the Website;
  • to monitor and analyze usage of the Website to enhance the user experience;
  • to research, compile, and report on usage trends, user demographics, and user behaviors to enhance the user experience.
  1. Do Not Track.

Certain web browsers may transmit “Do Not Track” (DNT) signals. Because no consistent industry or legal standard has been adopted for interpreting such signals, Speediful does not currently respond to DNT signals. We will continue to monitor evolving guidance and standards related to DNT.

  1. Disclosures to Third-Parties

  1. Third Party Service Providers. Speediful may share Personal Data with third-party service providers to perform their duties required for the Website or Software to function. Such service providers are contractually required to protect Personal Data with appropriate technical and organizational safeguards, process Personal Data only for the purposes for which they have been engaged and only on Speediful’s instructions, maintain the confidentiality of Personal Data, and refrain from retaining, using, or disclosing Personal Data except as necessary to perform their contracted services or as required by applicable law.Speediful does not sell your Personal Data. We only disclose Personal Data with third parties as described in this Privacy Policy and do not disclose Personal Data with unrelated third parties.
  2. Payment Processors. Speediful partners with third-party payment processors (“Payment Processors”) to manage credit card and other payment transactions. These Payment Processors are contractually restricted from storing, retaining, or using your Personal Data or billing details for any purpose other than completing payment transactions on Speediful’s behalf. In limited situations, Speediful may receive certain non-sensitive billing information, for example, the last four digits of your card number, its expiration date, and your billing address, which we use only as needed to fulfill the products or services you purchase. Information handled for payment processing may also be used by Speediful or our third party service providers in an aggregated or de-identified manner for internal analytics or fraud-prevention activities.
  3. Affiliates and Business Transaction Disclosures. Personal Data may be transferred to Speediful’s affiliates or in connection with a merger, acquisition, or sale of all or substantially all of Speediful’s assets. In such a case, the receiving party will be required to protect the Personal Data in accordance with terms at least as protective as those contained in this Privacy Policy.
  4. Disclosures Required by Law or to Protect Rights and Safety. In rare cases, Speediful may be required to disclose your Personal Data in response to a lawful request from law enforcement, regulatory authorities, or pursuant to a court order or other legal process. Speediful may also disclose Personal Data where necessary to enforce this Privacy Policy, protect or defend the rights or safety of Speediful, you, or others, or to investigate potential wrongdoing, including suspected fraud or identity theft. In all such cases, Speediful will disclose only the Personal Data that is legally required and, where practicable and unless prohibited by applicable law or court order, will provide you with prior notice of the disclosure.

  1. Consent to Data Collection and Use

Speediful relies on your consent when collecting Personal Data for optional purposes, such as sending you marketing communications or providing information about events, updates, or other resources you choose to receive. You may change your preferences or withdraw your consent at any time by using the unsubscribe link in our communications or by contacting us directly.

  1. Legitimate Interest

Where permitted by applicable law, Speediful may process Personal Data based on our legitimate business interests. This includes improving our Website and Software, enhancing our customer experience, maintaining information security, and communicating with existing customers about Software features or related offerings. You may object to processing carried out on the basis of legitimate interest at any time. Please note, however, that some processing is necessary for Speediful to provide and support the Software and to maintain the customer relationship. In those cases, we may not be able to discontinue the processing unless you choose to stop using the Software.

  1. External Links

The Website may contain links to third party websites operated by other people or companies. Links to such websites are included solely for your convenience. Although Speediful exercises care in selecting links to third party websites, it does not control and is not responsible for the content, security, or privacy practices of those third-party websites, and this Privacy Policy does not apply to any information collected by such third parties. Please review the privacy policies of any such third party websites.

  1. Security and Data Protection

Speediful takes appropriate security measures to protect Personal Data and Non-Personal Data against unauthorized access, alteration, disclosure or destruction. These safeguards are based on the sensitivity of the information that we collect and store.

Such measures include internal reviews of Speediful’s data collection, storage and processing practices and security measures, as well as physical security measures to guard against unauthorized access to systems where Personal Data is stored.

Speediful restricts access to Personal Data to its employees, service providers, and agents who need to know such information in order to operate, develop or improve the Website or administer the Customer relationship. These individuals are bound by confidentiality obligations that are at least as protective of your information as those set out in this Privacy Policy, and are required to treat such Personal Data confidentially and in accordance with this Privacy Policy.

  1. Sensitive Information

We do not require any sensitive Personal Data and ask that you do not share any with us (such as government ID numbers, racial or ethnic details, political or religious views, or health information). If we ever need to collect or use this type of information, we will first request your explicit consent, which you may withdraw that consent at any time. Speediful will not handle Sensitive Information without your permission.

  1. Your Privacy Rights

You may have the right to access your Personal Data and require Speediful to update, delete, or correct this information. If any part of your Personal Data, such as your name, e-mail address, mailing address, telephone number or other personal information is incorrect or has changed, you may update, correct or request deletion of the relevant information by contacting Speediful. We will take reasonable steps to update, correct, or delete Personal Data, as the case may be, in Speediful’s possession or control.

Individuals located in the EEA, the UK, or in certain U.S. states with applicable privacy laws (including California, Colorado, Connecticut, Virginia, Utah, and others) may have additional rights under applicable law, such as the right to request access, deletion, correction, a copy of their Personal Data, or to opt out of certain processing. EEA and UK individuals may also lodge a complaint with their local data protection authority, and California residents may have additional rights under the California Consumer Privacy Act (CCPA), as amended by the CPRA. Requests to exercise applicable rights may be submitted using the contact information in the “Contact Speediful” section below.

However, please note that certain non-marketing communications sent to Customers and users are not subject to opt-out. These include communications related to Software updates, functionality, patches, fixes, and other support-related information, notifications regarding conferences or events for which you have registered, and communications necessary to comply with legal obligations.

  1. Children’s Privacy

Speediful’s Website and Software are not directed to children, and we do not knowingly collect Personal Data from individuals under 18. If we become aware that such data has been collected, we will delete it. Customers whose use of Speediful products may involve children’s or students’ data must notify Speediful in advance and ensure all required parental or legal consents are obtained.
